Booking Actions

Booking Actions let you control which actions are available during the booking lifecycle and who can use them. You can also add custom rules and forms to collect information when an action is performed.

Available Booking Actions

These actions can be configured after a booking is created:

  • Cancel Booking
  • Reschedule Booking
  • Staff On The Way
  • Staff Arrived
  • Mark as No Show
  • Complete Booking
  • Add Note

For each action, you can configure when the action appears and who can see it, such as Staff, Customer, Admin, or Everyone.

Configuring an Action

To configure an action:

  1. Find the action you want to configure.
  2. Click Configure Form Fields next to the action.
  3. You will be taken to the action configuration page.

The configuration page lets you control the action's display rules and, for supported actions, collect additional information when the action is used.

Custom Display Logic

The Custom Display Logic section lets you define rules that determine when an action button should appear.

Every booking action has default system rules. If you do not create custom rules, Booky AI uses these default conditions.

Example: Cancel Booking

By default, the Cancel Booking action is available when:

  • The booking is not completed or already cancelled.
  • The booking meets your configured cancellation policy, including the deadline and maximum fee conditions.
Important: Once you add custom display logic, your custom rules completely replace the default system rules. The default rules will no longer be applied.

Adding Custom Rules

To create your own display logic:

  1. Open the action's configuration page.
  2. In the Custom Display Logic section, click Add Rule.
  3. Select the conditions for your rule.
  4. Add any additional rules required for the action.
  5. Click Save.

The available rule parameters let you create conditions based on information related to the booking. The available options are designed to be straightforward, so you can combine them to control when an action is shown.

Tip: Only add custom logic when you need behavior different from the default system rules.

Adding Form Fields to an Action

Some booking actions allow you to display a simple form when the action button is clicked. This lets you collect additional information and document what happened during the booking.

For example, you can collect a reason when cancelling a booking or record information when a staff member completes an important step.

To add fields:

  1. Open the action configuration page.
  2. Find the Form Fields section.
  3. Click Add Field.
  4. Configure the field you want to collect.
  5. Save your changes.

The information collected through these forms can help you track events throughout the booking lifecycle.

Testing Your Actions

After configuring an action, test it using a test booking before using it with real customers.

Pay particular attention to custom display logic because custom rules replace the system defaults. Confirm that the action appears for the correct users and under the correct conditions.

Best Practice: Create a test booking and verify each configured action before relying on it in your daily operations.
